Essential Information About Cancellations
BIOVIBES is committed to providing all of our patients with exceptional care. We respect your time is valuable and we would be grateful for you to understand ours is too.
We fully appreciate that something may come up that might prevent you from attending your appointment or you may sadly experience unforeseen circumstances (see definition below) beyond your control, we fully recognise things can happen in life so are happy to work around it with you for your best outcome!Your appointment time has been specifically reserved for you, so if you’re unable to keep your appointment or you must reschedule it, you can do so by telephoning us as soon as possible on 0431 971 721.
If you are running late, we ask you phone us to advise you are on your way and please understand that we may not be able to provide the full treatment that you are booked for because our treatments cannot be rushed, but you will still be charged for the full appointment.
When a patient cancels without giving enough notice, they prevent another patient from being seen.
Always notify the clinic of any changes to your contact details including name changes, address, mobile number and email. This will help the clinic to get pre-appointment reminders or any essential or important information to you.
We will endeavour to send you a reminder text prior to 24 hours before the scheduled time.
Cancellations
We have a 24-hour cancellation policy.
We require a minimum of 24-hours’ notice for any appointment cancellation to allow time to reallocate your appointment to another client.
Please call us at 0431 971 721by 10:00 a.m. on the business day prior to your scheduled appointment to notify us of any changes or cancellations. To cancel a Monday appointment, please call our office by 10:00 a.m. on Friday.
If you cancel within 24 hours of your appointment, or fail to attend a booked appointment, we reserve the right to charge a fee for that booking which had been made and subsequently cancelled.
The first time a client cancels or fails to attend a booked appointment within the 24 hour period prior to the time they will be given the opportunity to reschedule (with no financial penalty applied).
Any subsequent cancellations by/for the same client that occurs within the 24 hour period will result in a ‘Cancelled Booking Fee’ of 50% of the treatment cost being charged, with the remainder of the prepayment being refunded. Refunds are processed within 24 hours after the cancelled appointment time.
We will undertake all reasonable efforts to fill the vacancy with a replacement client, to avoid any charges being applied. However, this may not always be the case, due to the limited extent of notice or lack thereof.
Unforeseen Circumstances
In the likelihood whereby a situation arises, which is due to unforeseen circumstances, a crisis, a legitimate emergency and/or other circumstances beyond your control (such as natural disasters, extreme weather conditions, an accident, serious illness or hospitalisation, etc.) which prevent you from attending or cancelling your appointment with sufficient notice you should let us know as soon as possible by phoning us on 0431 971 721.
We reserve our rights to request official, valid proof of such an event, to assist us in determining if a waiver of the ‘Cancelled Booking Fee’ may be applied.
Clinic Closure
In the event of an emergency or unforeseen circumstances where the practitioner is not fit or well enough to carry out the duties of the position or to perform treatment sessions, resulting in the clinic needing to be closed for a period of time, clients will be notified at the earliest time possible.
Clients can elect to be fully refunded or reschedule at another more suitable time.
As a way of apologising, clients will be given a '50% OFF Gift Voucher' to be used at their next treatment session or transferable to another regular BIOVIBES client, in lieu of any inconveniences.
